Strata Meeting for October 13th 2015

Meeting called to order at 7pm.

Adoption of Previous Minutes: Dated September 8th 2015 were unanimously voted on by Council not to be read.

Treasurers Report: Read by Mr. Robin Knowles. All Maintenance Fees and Parking Fees are up to date. The budget is on track with expenses as accounted for. Motion to accept the Treasurers Report as read by Ken Hall, seconded by Anna Levesque.

Old Business:
-Council to follow-up with Gutter Tech after the rainfall.
-The 6 decks that were scheduled for repair and vinyl replacement have been completed.
-Cleaning of #28 soffiting is still scheduled for cleaning when time prevails.
-Received two quotes for the falling of trees at the rear of the property and awaiting a third quote. Ken Hall made a motion to take the money from the contingency fund as he felt this constituted a safety issue both to persons and property. Ken motioned that monies be approved to a maximum of $4000. It was unanimously agreed by Council. CARRIED.
-Electrical conduit/GFI outlets are now installed.
-Cleaning of the recycling bins to be completed in the future when someone can be scheduled.

New Business:
-#19 experiencing problems with front entry latch opening. Council to contact 4th Utility to have them look at this issue.
-Council reviewed the quote that the Secretary received for snow removal. Council unanimously approved the contract for snow removal by Christophe from Bioules Home and Garden.
-Letters will be outgoing to Owners that require correspondence and the letters received were reviewed and discussed.

RECYCLING

Rats are becoming an increasing problem in the Community at large. Council has noticed that our recycling bins, although we are waiting to have them washed and rinsed, Owners are not rinsing and cleaning their recyclables prior to placing them into the bins. The last thing we want here is to have a rodent problem and it can be easily avoided if we do not give them a food supply. Thank you to the person who removed the fluorescent tubes from the recycling area. These types of items are not able to be picked up curbside in a Strata Complex. Council would appreciate that someone would volunteer to check the recycling area weekly and if there were items that are not appropriate for the bins, that they would transport them to the recycling depot. This was something that Donna Klein use to do voluntarily for The Colonial, and we certainly do miss her thoughtfulness in that area.

CARPORT CLEANING

All Owners, please remove your vehicles and sweep out and clean your carport areas. This is every Owners responsibility and if you are unable to do this type of work, then you must arrange to have that taken care of on your behalf. Remove any items that you might be storing in your carport area, because storage is not permitted in the carports, but we have noticed an increase in transient/bicycle people coming through the complex, most likely looking for items to take. Council appreciates everyone’s cooperation in this very important matter. Please REMOVE ALL DEAD PLANT MATERIALS from patios. These materials must be disposed of in our composting area at the rear of the property through the single gate entrance. If you require a key please contact the Secretary Sharon Bull in Unit #11. The other option for disposal is to put it at the sidewalk curb next Tuesday morning for the landscapers to dispose of for you.

NEW RULE:
-Parking 1.2(10) ”The Colonial infrastructure does not facilitate the installation of any charging capabilities for electric vehicles, smart cars or hybrid cars”.
This Rule will be ratified at the AGM in April 2016. Council unanimously wanted to make this clear to Owners but to Buyers as well because we are at maximum hydro capacity for the complex.

The Thank You dinner for Donna Klein went very well, and on behalf of the Colonial Strata and Owners a lovely necklace and earrings were presented to Donna. It was definitely a team effort to put the dinner together, which Donna appreciated very much. Donna will be sorrily missed, but we wish her well in her new home.

Organics has now been reduced to pickup once a week since we are entering our winter months, but Council appreciates the efforts by a lot of Owners to follow these new guidelines and asks that all other Owners follow the guidelines so we can avoid being Fined for Organics in our regular trash bin. Council also see’s plastic bags that are not compostable in the Organics, you cannot use your Save On, Thrifty’s or Safeway bags in the Organics bin. Please use paper bags or bags that are marked as being compostable.

HALLOWEEN TREATS AT THE COLONIAL

Halloween treats are handed out at the clubhouse on Halloween Night, Oct 31st. To contribute to the goodies you can either donate a bag of candy or make a cash donation to Mrs. Joan Wylie in #13 or Freda Jackson in #12. They will then purchase the treats and a group of volunteers will put the bags together. The Colonial has found this works better than having children going back and forth across the roadway in the complex. Owners are welcome to come to the clubhouse to see the kids dressed up, enjoy a coffee and some baked goodies yourself. Thank you to the Owners who have participated.

SELLING YOUR UNIT

If you are selling your unit, please be sure to hand over the key to the clubhouse/workshop to your Realtor. The last six sales in the complex, Strata has had to get copies of these keys when it is the Owners responsibility to provide the key to the new purchaser.

RECALL NOTICE FOR DISHWASHERS

It was brought to Councils attention that a recall notice saying the power cord could overheat and cause a fire hazard. The following dishwashers are affected:
-Bosch
-Thermador
-Gaggenau
-Kenmore Elite

The article will be posted in the mailbox message board with specific details on the model number.
